Pasadena ISD Media Guidelines
Pasadena ISD works cooperatively with local, regional, and national news media to provide accurate, timely information about district activities, programs, and achievements. At the same time, the district prioritizes the safety, privacy, and instructional time of all students and staff.

- All media inquiries must be directed to the Pasadena ISD Communications Department.
- This includes phone calls, emails, on-campus requests, or social media inquiries.
- If media arrives on campus without prior approval, they should be asked to leave and referred to the Communications Department.
- The Communications Department will coordinate with the campus principal to determine appropriate timing and arrangements for any media visit.

- Media may visit schools only with prior approval from the Communications Department and campus administrator.
- Media access to classrooms or instructional spaces will be permitted only if the visit does not disrupt the learning environment.
- Photography, filming, or interviews may occur only at the discretion of the Communications Department and campus leadership.
- Exceptions may be made for routine athletic or extracurricular media coverage outside the normal school day.

Pasadena ISD follows all federal privacy laws, including the Family Educational Rights and Privacy Act (FERPA).
- Each campus maintains a list of students whose directory information (names, photos, etc.) may not be released.
- Media must not capture images or information of these students.
- Students may only be interviewed, photographed, or recorded if proper permissions are on file.
- Communications staff must be notified in advance to allow time to verify privacy preferences.

- Media representatives must be escorted by Communications staff or campus personnel during visits.
- Approved media may take photos or video only in locations designated by Pasadena ISD staff.
- All approved participants (students or staff) must be notified in advance when possible to maintain safety and minimize disruptions.
- Third‑party organizations—whether nonprofit or for‑profit—seeking to film or photograph Pasadena ISD students for promotional, marketing, fundraising, organizational branding, or other public‑facing purposes must provide a district‑approved release waiver.
- The waiver must be signed by the student’s parent/guardian before any filming or photography occurs.
- Without a completed waiver, third‑party organizations may not capture or publish student images.
Pasadena ISD Guidelines for Flyer Distribution
Pasadena ISD will consider requests to distribute information to students from organizations which provide youth-oriented activities and/or programs that support the educational enrichment of students.
The following types of flyers will not be approved:
- Flyers that are lewd, obscene, libelous, or slanderous.
- Flyers that incite students to commit unlawful acts, violate school rules, or disrupt the orderly operation of the schools.
- Advertisements that would prevent the district from maintaining neutrality on political or religious issues, or that create an appearance of favoritism regarding such issues.
- Materials that proselytize religious beliefs.
- Materials that position the district on any side of a controversial issue.
- Flyers that discriminate against, attack, or denigrate any group on the basis of gender, race, age, color, religion, ancestry, national origin, disability, or any other unlawful consideration.
- Flyers that promote the use or sale of materials or services that are illegal or inconsistent with school objectives, including but not limited to tobacco, intoxicants, and movies, programs, or products unsuitable for children.
- Flyers that solicit funds or services for an organization, except for solicitations authorized in Board policy.
- Flyers from religious organizations promoting worship services, religious instruction, or events hosted in houses of worship, including programs primarily intended for faith‑based recruitment.
- Flyers from charter schools, private schools, or other educational providers that compete with Pasadena ISD for student enrollment.
- Flyers from daycares, preschools, or private learning centers promoting Pre‑K, after‑school, or academic programs that duplicate district offerings.
- Flyers with limited educational value, primarily commercial intent, or a recruitment/advertising focus rather than student enrichment.
Clarifying Provisions:
- Non-school literature shall not be distributed if the materials promote classes/activities that are already offered through the District.
- Flyers must reflect activities or programs that would interest students or be for their well being. Flyers with little or no educational value will not be approved.
- Flyers will not be approved during the summer from the last day of school until the first day of the new school year.
- Flyers sent electronically: It is the responsibility of the requestor to upload their requested flyer in PDF format to the Peachjar system.
- If at any time it is determined that previous flyers or written materials presented for approval contained false information or did not accurately represent the intentof the program, the approval of future flyers submitted by the requesting organization will be jeopardized.
Physical Flyer Distribution Approval Process:
- All flyers distributed to Pasadena ISD students by non‑district departments, outside organizations, or campuses must include the following disclaimer printed at the bottom in a minimum of 10‑point font: "The Pasadena Independent School District has approved the distribution of this flyer as a community service. No endorsement of the products or services, however, is stated or implied."
- Organizations must complete the Request for Flyer/Nonschool Printed Materials Distribution Approval form for district approval.
- The completed approval form and a sample of the flyer intended for distribution must be emailed to kcarter1@pasadenaisd.org.
- Once district approval is granted, the organization may take the flyers and the signed approval form to their desired Pasadena ISD campus.
Campus-Level Distribution Procedures:
- Campuses have the final authority to approve or deny the physical distribution of flyers on their campus.
- Campuses will oversee the internal distribution process (e.g., classroom placement, folder distribution, front office pick-up, etc.).
- Campuses are not responsible for printing, copying, or producing any materials; all flyers must be provided by the organization in their final form.
- Campuses may set additional procedures or limitations based on campus needs, schedules, or student impact.

The Pasadena ISD Communications Department is responsible for reviewing and approving all electronic flyer distribution. All digital flyers must be submitted through Peachjar, the district’s electronic flyer delivery system. Peachjar allows Pasadena ISD to distribute school‑approved and community‑approved flyers directly to parents while reducing printing costs, saving staff time, and minimizing paper waste.
Submitting a Digital Flyer Through Peachjar
- Visit the Peachjar website
- Register as an Enrichment Provider (account type).
- Nonprofit Organizations: Nonprofit 501(c)(3) organizations must upload a current IRS determination letter verifying nonprofit status. Peachjar service fees may still apply.
- For‑Profit Organizations: Pasadena ISD does not currently accept flyers from for‑profit organizations.
- Upload Your Flyer: Flyers must be uploaded in PDF format for review and approval.
Notes for Pasadena ISD Parent Groups
Parent organizations affiliated with Pasadena ISD campuses do not need to follow the above steps.

Pasadena ISD reserves the right to make the final determination on whether any flyer may be distributed electronically or on a district campus. Flyers may be denied for any reason consistent with federal or state law, district policy, procedures, or practices.
