District personnel shall observe the following
regulations regarding keys:
1. Keys are issued to the building principal, who
in turn issues them to
employees in the building as needed. The
principal shall keep a current
record of all keys checked out. Teachers who are
issued keys during the
year shall return them to the principal at the
close of the year for a key
audit. The key audit shall be a part of the
principal’s and the
employee’s checkout requirements.
2. All keys shall be supplied and duplicated by
the Maintenance
Department. Employees may not have a key made or
duplicated
elsewhere.
3. A request for a duplicate key shall be sent on
a work order to the
Associate Superintendent for Facilities,
accompanied by a detailed
explanation of why a duplicate is needed.
4. When a key is lost or stolen, a request for
another key must be sent
along with a work order to the Associate
Superintendent for Facilities,
accompanied by a written, signed explanation by
the employee to whom
the key was checked out.
5. Employees will be charged for lost or stolen
keys at the rate of $3 for
classroom and cabinet keys, $5 for sub-master
keys, and $8 for master
keys.
6. When a key is broken, the broken key must be
sent with a work order for
replacement to the Maintenance Department.
7. Master and sub-master keys shall be issued upon
the direction of the
principal or supervising administrator. Master
keys shall be issued only
to those persons whose positions necessitate the use
of a master key.
8. Combinations to safes or vaults in the high
schools and Administration
Building shall be issued to the principal or
supervising administrator by
the business office.
9. When a principal or supervising administrator
moves to another
assignment or leaves the District, the keys will
be audited by the
Maintenance Department before being reissued to
the new principal or
supervising administrator. Combinations to safes
or vaults shall be
changed by the Business Office.
10. Keys to kitchens and pantry areas are issued
only to cafeteria
managers and principals. The head custodian
shall be issued a key to
those areas in buildings where the roof
access door and electrical
panels are located.
11. A school key shall not be loaned or issued for
any reason to someone
who is not a district employee.
12. Keys are not to be left in conspicuous places
where they could be
taken by unauthorized personnel.
