Distribute Textbooks: Overview
Textbooks can be distributed from
any of the following sections located in the Navigation Bar:
Students:
Click on this icon, if you are distributing books to students.
For
example, a new student coming to get all his or her textbooks.
Teachers:
Click on this icon, if you are distributing books to teachers.
Textbooks:
Click on this icon, if you have a small group of students getting one textbook
(such as an Algebra book).
Automation
Quick
Data Entry Click on this icon, if the entire school's population is being
issued textbooks (such as the beginning of the school year).
Note
Distribution from any of these navigation icons can be automated with the
addition of a connected bar code scanner. The bar code scanner allows you to
scan directly into the displayed window. For more information on distributing
books using portable equipment, see
Bar Code Scanning Equipment.

Distribute Same Textbook to Multiple People
To distribute one
textbook to multiple people, use the following steps:
1.
Click on
(Textbooks)
located in the Navigation Bar.
2.
Use
Search to find the textbook you want to distribute.
3.
Click on
(Distribute)
in the row listing the textbook you want to distribute. The Distributions
page opens.
4.
At the top
of the page, use the drop-down menu to select the source of the book.

5.
Use
Search By drop-down menu and the Search field to narrow your search
for the title to be distributed.
6.
Click on
the title to be distributed. The row highlights to orange. On the right side of
the page, the title and the number of available copies displays as shown in the
following screen capture:

7.
In the
lower grid of the page, select the target (to whom the book will be distributed)
using the drop-down menu.

Depending on which search criteria you selected, a list similar to the following
screen capture displays in the lower grid:

Use the scroll bar to locate the target person or use the Search By
drop-down menu and the Search field to narrow your search, then click on
.
Note
To the
right of the highlighted row, a list of books currently checked out to this
person displays.
If they
do not have a book checked out to them, a message stating
No Books
Assigned to...,
displays.
9.
In the
center of the page, enter the number of copies you want to transfer and
determine whether you want to include accession numbers or not.

10.
Click on
(Transfer).
o
If you
deselected the With Accession? check box, a list displays the books
assigned to this particular person.
o
If you
selected the With Accession? check box, the following page opens:

11.
Enter the
accession number into the Accession Number field and click on
(Transfer).
Repeat this process from
Step 9 for each additional book of the same title to be distributed (assuming
the target type has not changed).
TIPWeb also allows for
distribution of textbooks from portable equipment or from the application
in the
Quick Entry method.

Distribute Several Books to One Student
To distribute several
books to one student, use the following steps:
-
Click on
(Students)
located on the Navigation Bar.
-
Use
Search to find the student to whom you want to distribute books.
-
Click on
(Distribute)
in the row listing the student to whom you want to distribute books. The
Distribution page opens.
4.
At the top
of the page, use the drop-down menu to select the source of the book.

5.
Use
Search By drop-down menu and the Search field to narrow your search
for the title to be distributed.
6.
Click on
the title to be distributed. The row highlights to orange. On the right side of
the page, the title and the number of available copies displays as shown in the
following screen capture:

The lower grid (Target
grid) of the page displays the student to whom you want to distribute textbooks,
as shown in the following screen capture:

Note
To the
right of the highlighted row, a list of books currently checked out to this
student displays. If this student does not have a bok checked out to him or her,
a message stating No Books Assigned to ..., displays as shown in the
screen capture above.
7.
In the
center of the page, enter the accession number into the Accession Number
field and click on
(Transfer).

Note
If you
scanned the accession number with a scanning device, you do not
have to click on
(Transfer).
The transferred book
displays next to the student listed in the lower grid (Target grid) as
shown in the following screen capture:

Note
While in
this area, you have the option to distribute books not only to students, but
also to teachers and storage.
8.
To
distribute additional books to this particular student repeat this process from
Steps 6.
Note
The
student, to whom you just distributed textbooks, will be the default student in
the Target area, unless you want to change students.
TIPWeb also allows for
distribution of textbooks from portable equipment or from the application
in the
Quick Entry method.

Distribute Several Books to One
Teacher
To distribute several books to one
teacher, use the following steps:
1.
Click on
(Teachers)
located on the Navigation Bar.
2.
Use
Search to find the teacher to whom you want to distribute books.
3.
Click on
(Distribute)
in the row listing the teacher to whom you want to distribute books. The
Distribution page opens.
4.
At the top of the page,
use the drop-down menu to select the source of the book.

5.
Use the Search By
drop-down menu and the Search field to narrow your search for the title
to be distributed.
6.
Click on the title to be
distributed. The row highlights to orange. On the right side of the page, the
title and the number of available copies displays as shown in the following
screen capture:

The lower grid (Target
grid) of the page displays the teacher to whom you want to distribute textbooks,
as shown in the following screen capture:

7.
In the center of the
page, enter the number of copies you want to distribute to this teacher. The
With Accession? check box is selected by default, as shown in the following
screen capture:

o
If you leave the With
Accession? check box selected, you will have to enter the accession numbers
(in other words, continue with step 10).
o
If you clear the With
Accession? check box, you do not have to enter any accession numbers (in
other words, skip step 10). There is no back button to return to the previous
page, to exit this particular area, click on a category in the navigation bar.
Note
While
in this area, you have the option to distribute books not only to teachers, but
also to students and storage.
8.
Enter the appropriate
accession number.
9.
Click on
(Transfer)
to register the number of copies.
Note
If you
scanned the accession number with a scanning device, you do not
have to click on
(Transfer).
If you
are manually typing the accession number, click on
(Transfer)
to register the accession number.
The Distribution
With Accessions page opens; your screen should look similar to the following
screen capture:

10.
Enter the accession
number and click on
(Transfer).
Your screen should look similar to the following screen capture:

11.
Click on
(Back
to Distributions) located at the bottom of the page to return to the
textbook distribution page.
To distribute
additional books to this teacher repeat steps 6 through 11.
Note
The
teacher to whom you just distributed textbooks, will be the default teacher
under the Target area, unless you want to change teachers.
TIPWeb also allows for distribution of textbooks
from portable equipment or from the application in the
Quick Data Entry

Distribute with Quick Data Entry
The Quick Data Entry page is used to enter a lot of data quickly into
your textbook database. You can use this area with or without a scanning device.
To scan data using the
(Quick
Data Entry), use the following steps:
-
Click on
(Automation)
located on the Navigation Bar.
-
Click on
(Quick
Data Entry).
-
Select the data entry type from the
Choose Type of Data Entry drop-down menu.
Note
In
general, this drop-down menu provides you with the option to distribute or
collect textbooks.
The data
entry types provided are:
-
Collect by
Accession:
Collect textbooks from students and teachers
-
Student
Distribution:
Assign textbooks to students
This
option provides check boxes to Remember ID, Remember ISBN, and
Do Not Remember Values.
The first
two options should be checked if one student is receiving multiple books and you
want to scan his or her ID one time.
-
Teacher
Distribution:
Assign textbooks to teachers
This
option provides check boxes to Remember ID, Remember ISBN,
Remember ID and ISBN, and Do Not Remember Values.
Either
one of the first two options or the third option should be checked if one
teacher is receiving multiple books and you want to scan his or her ID one time.

Teacher
Distribution without Accessions:
Assign textbooks to teachers without accessions
This
option provides check boxes to Remember ID, Remember ISBN, and
Do Not Remember Values.

Distribute Textbooks:

Distribute Same Textbook to Multiple People
To distribute one
textbook to multiple people, use the following steps:
1.
Click on

Search to find the textbook you want to distribute.
3.
Click on

in the row listing the textbook you want to distribute. The
Distributions page opens.
4.
At
the top of the page, use the drop-down menu to select the source of the
book.

5.

Search By drop-down menu and the Search field to narrow
your search for the title to be distributed.
6.
Click on the title to be distributed. The row highlights to orange. On
the right side of the page, the title and the number of available copies
displays as shown in the following screen capture:

7.
In
the lower grid of the page, select the target (to whom the book will be
distributed) using the drop-down menu.

Depending on which search criteria you selected, a list similar to the
following screen capture displays in the lower grid:

Note

Note
To the right of the highlighted row, a list of books currently checked
out to this student displays. If this student does not have a bok

7.
In
the center of the page, enter the accession number into the Accession

Distribute Several

to one teacher, use the following steps:

Search to find the teacher to whom you want to distribute books.
3.

in the row listing the teacher to whom you want to distribute books. The
Distribution page opens.
4.
At the top of the
page, use the drop-down menu to select the source of the book.

By drop-down menu and the Search field to narrow your search
for the title to be distributed.
6.
Click on the
title to be distributed. The row highlights to orange. On the right side
of the page, the title and the number of available copies displays as
shown in the following screen capture:

The lower grid
(Target grid) of the page displays the teacher to whom you want
to distribute textbooks, as shown in the following screen capture:

7.
In the center of
the page, enter the number of copies you want to distribute to this
teacher. The With Accession? check box is selected by default, as
shown in the following screen capture:

o
If you leave the
With Accession? check box selected, you will have to enter the
accession numbers (in other words, continue with step 10).
o
If you clear the
With Accession? check box, you do not have to enter any accession
numbers (in other words, skip step 10). There is no back button to
return to the previous page, to exit this particular area, click on a
category in the navigation bar.
Note

area, you have the option to distribute books not only to teachers, but

8.
Enter the

Distribute with Quick Data Entry
The Quick Data Entry page is used to enter a lot of data quickly
into your textbook database. You can use this area with or without a
scanning device.
To scan data
using the
(Quick
Data Entry), use the following steps:
-
Click on
(Automation)
located on the Navigation Bar.
-
Click on
(Quick
Data Entry).
-
Select the data entry type
from the Choose Type of Data Entry drop-down menu.
Note
In general, this drop-down menu provides you with the option to
distribute or collect textbooks.
The data entry types provided are:
-
Collect by Accession:
Collect textbooks from students and teachers
-
Student Distribution:
Assign textbooks to students
This option provides check boxes to Remember ID, Remember ISBN,
and Do Not Remember Values.
The first two options should be checked if one student is receiving
multiple books and you want to scan his or her ID one time.
-
Teacher Distribution:
Assign textbooks to teachers
This option provides check boxes to Remember ID, Remember ISBN,
Remember ID and ISBN, and Do Not Remember Values.
Either one of the first two options or the third option should be
checked if one teacher is receiving multiple books and you want to scan
his or her ID one time.
-
Teacher Distribution without Accessions:
Assign textbooks to teachers without accessions
This option provides check boxes to Remember ID, Remember ISBN,
and Do Not Remember Values.
-
Teacher Collection without Accessions:
Collect textbooks from teachers without accession
This option provides check boxes to Remember ID, Remember ISBN,
and Do Not Remember Values.
Make sure to change the ID number for the next person.
4.
Select one of the following options to the left of the Choose Type of
Data Entry drop-down menu:
o
Remember ID
o
Remember ISBN
o
Remember ID and ISBN
o
Do
Not Remember Values
5.
Click on
(Start
Scanning) and enter the following data.
o
Scan or type the student or teacher ID and click on
(Save
ID). The name of the student or teacher displays to the right of the
entered ID.
o
Scan or type the ISBN and click on
(Save
ISBN). The textbook title displays to the right of the entered ISBN.
o
Scan or type the accession number and click on
(Save
Accession/Copies). The ID and name of the student or teacher, the
title and the accession number of the textbook displays in the lower
grid under Displaying the last successful scans. The Book
History: list to the left displays the textbook history of that
particular student or teacher.
Your screen
should look similar to the following screen capture:

6.
Every time you add another individual, either by scanning or by typing
the information manually, a row is added to the list in the lower grid.
Refer to the following screen capture.

Note
If you are not using a scanning device, enter the data manually (include
student or teacher ID, ISBN, and/or Accession
number) and then click on
(Save),
next to the corresponding field, to register the information.
If you are using a scanning device, the data scanned will be entered
into the fields and automatically forward the cursor to the next field.
7.
To
print a receipt, click on
(Today's
Receipt) or
(Full
Receipt) after each student or teacher.
Collect
textbooks from teachers without accession
This
option provides check boxes to Remember ID, Remember ISBN, and
Do Not Remember Values.
Make sure
to change the ID number for the next person.
4.
Select one
of the following options to the left of the Choose Type of Data Entry
drop-down menu:
o
Remember ID
o
Remember
ISBN
o
Remember ID
and ISBN
o
Do Not
Remember Values
5.
Click on
(Start
Scanning) and enter the following data.
o
Scan or
type the student or teacher ID and click on
(Save
ID). The name of the student or teacher displays to the right of the entered
ID.
o
Scan or
type the ISBN and click on
(Save
ISBN). The textbook title displays to the right of the entered ISBN.
o
Scan or
type the accession number and click on
(Save
Accession/Copies). The ID and name of the student or teacher, the title and
the accession number of the textbook displays in the lower grid under
Displaying the last successful scans. The Book History: list to the left
displays the textbook history of that particular student or teacher.
Your screen should look
similar to the following screen capture:

6.
Every time
you add another individual, either by scanning or by typing the information
